MOSS 2007 Workflow and Business Logic (A5702)

Introduction

Workflow was a major component that was missing from SharePoint 2003. Sure third party components could be purchased and implemented, or custom code written around list event handlers, but these solutions required sometimes complex integration and added cost and support.

Description

Thankfully Microsoft Office SharePoint Server 2007 (MOSS 2007) has workflow built in everywhere. Every list or document library can have workflow associated with it, from blog posts and web content to InfoPath forms and Word documents. Being built on top of Windows Workflow Foundation, these workflows deployed and utilised in MOSS 2007 can be as complex or as simple as you like.

Microsoft Office SharePoint Server 2007 (MOSS 2007) offers Business Intelligence functionality to put the data and information of your company in one central place for the people who need it most. From executive management Key Performance Indicators to Dashboards allowing you to drill down to daily or hourly information of how your business is operating, MOSS 2007 offers users the ability to easily access this information. Graphical presentations of data that used to take hours of programming in Excel can now be accomplished with 2 clicks, and then shared among your colleagues with Excel Services.

A brand new feature of Microsoft Office SharePoint Server 2007 (MOSS 2007) is the Business Data Catalog. This new component allows line of business data to be integrated with within your SharePoint environment with Business Data Webparts, SharePoint Lists, Search, User Profile Importer, and Custom Solutions. Previously in SharePoint 2003 to get this external data to display in your portal often required the development of custom webparts which could have entailed months of development and testing. The Business Data Catalog offers an easy, no code way of integrating your backend data into MOSS 2007.

MOSS Web Managed Workflows

MOSS 2007 comes with a set of templates that can be bound to a document library or list. These templates include approval, feedback and collecting digital signatures. Within each of these templates a number of options exist such as who should be involved in the workflow, and how long each user has to accomplish each task. While these templates will give you a good introduction to what can be done with Workflow and MOSS 2007 the real power of workflow comes with SharePoint Designer and Visual Studio 2005.

SharePoint 2007 Designer

SharePoint Designer is the new design tool for SharePoint 2007. Its been re-badged and vastly improved from FrontPage 2003 which was the often lambasted tool for customizing SharePoint 2003. As well as being able to design the look and feel of a SharePoint 2007 site with SharePoint Designer, you are also able to create custom workflows that offer a great deal of flexibility on when the workflow will start, and what path the workflow will actually take.

Microsoft Excel 2007

Microsoft Excel is widely known as the biggest data store of information in companys world wide. The ease of storing information, creating complex calculations and charting abilities, as well as ad hoc data analysis, have made it a popular information management tool among companys everywhere. Accepting that Excel is the choice of many, Microsoft has vastly improved the functionality of Excel both in terms of visible charting and formula design, to data connectivity and manipulation. Once you have your Excel Spreadsheet the way you want it you can now effectively share it around your organisation with Excel Services.

Microsoft Excel 2007 Services

Excel Services is a brand new component of MOSS 2007 that allows you to present and share Excel Spreadsheets in a completely new way. With Excel Services you can:


  • Providing browser-based access to spreadsheets users no longer need Microsoft Excel to view Excel spreadsheets. By making use of named fields it is also possible for users to be able to enter parameters that will allow you to recalculate the spreadsheet and see how these numbers affect things.
  • Incorporating spreadsheets in portals and dashboards Excel Server Web Part allows the display of spreadsheets in MOSS 2007 pages. This data stored in the spreadsheet can also be incorporated into dashboards for KPIs and reporting.
  • Limiting access to spreadsheets either for regulatory and audit concerns or to protect intellectual property in spreadsheets with MOSS 2007 extended security model access to Excel spreadsheets can be managed at a very granular level.
  • Leveraging servers to offload long-running calculations from desktop machines Excel Services can be run on a separate server so that spreadsheets with huge complex calculations can make maximum use of a dedicated server and not slow down other business applications.

SQL 2005 Analysis Services

SQL 2005 Analysis Services allows you to generate OLAP Cubes around multiple data sources so you can get an integrated view of all your business data for use in traditional reporting, OLAP analysis, scorecards, and data mining. With MOSS 2007 and business dashboards you can define your data sources, target which users can view which data, and define how they can drill down on the data and filter it. With Excel spreadsheets connected to OLAP Cubes and generating charts, teamed together with Excel Services you can display these charts, and get them updated by filter selecting, all within the same Business Intelligence dashboard.


Business Data Web Parts

MOSS 2007 ships with 4 new web parts which are used in conjunction with data imported via the Business Data Catalog to provide a way to display your data in your portal. The four web parts available are:

  • Business Data List Web Part
  • Business Data Items Web Part
  • Business Data Related List Web Part
  • Business Data Actions Web Part

Business Data in Lists

SharePoint 2007 introduces new flexible column types for Lists and Libraries. The most interesting of these in the context of Business Data Catalog is the Business Data Column. This allows users to enter business data that is contained within your line of business data store and associate it with each list item. For example you have imported your line of business data and created a Business Data Column in a document library for marketing documents. Each of these marketing documents is for a specific product that is stored in our line of business application and so can be accessed through the Business Data Catalog. By making the column a required field and the new properties pane in Microsoft Word the user has to enter the necessary data to be able to save the document.

Business Data Action

For each record that is pulled from your Line of Business application you can define actions that can be performed when displayed with the Business Data Web Parts. For example if you pull in a customers email address you could define an action so that from the actions drop down list for the Business Data List Web Part email customer is one of the options and the customers email address passed as a parameter so that Outlook will automatically open and corresponding email address fields be filled in.
